Setting E-Mail Notifications
You can receive notifications received in kintone via e-mail in addition to receiving them in kintone.
Notifications related to apps, spaces, people, and messages can be received via e-mail.
To receive e-mail notifications, the following settings must be configured.
- cybozu.cn Administrator sets the system e-mail accounts.
- Set E-mail addresses of users who will receive notifications (set by the cybozu.cn Administrator or by each user).
- System administrator enables the E-mail Notifications feature.
- The app administrator sets notifications for each app as necessary.
- Each user configures personal settings.
Described below are steps to configure e-mail notifications.
Configuring the system mail account (for administrators)
To receive e-mail notifications, system mail account must be configured in Users & system administration.
These settings are configured by a cybozu.cn administrator (a member of the "Administrators" group).

Click the Settings icon (the gear-shaped icon) at the top of kintone, then click Users & system administration.

On the "Users & system administration" screen, click System Email under System Administration.

On the "System Email Settings" screen, set the system e-mail address and e-mail server to use for sending notifications.

Check whether an e-mail address has been specified in your profile.
For details on how to view your profile, refer to Viewing and Changing Profiles.
cybozu.cn Administrators can add e-mail addresses to user details as well.

Enabling e-mail notifications (for administrators)
The E-mail Notifications feature must be enabled by a kintone Administrator.

Click the Settings icon (the gear-shaped icon) at the top of kintone, then click kintone Administration.

On the "kintone Administration" screen, click Feature Activation.

On the "Feature Activation" screen, select the Activate e-mail notifications checkbox under E-mail Notifications.
Configure Default value for the receiving setting, E-mail Notification Format, and Other settings as necessary.

Click Save.
App settings (for app administrators)
The administrator of each app configures the notification settings of the app to receive notifications, as necessary.
In the notification settings of the app, the administrator can configure various notification conditions.

For example, notification settings can be configured so notifications are sent to a specific user when a record is added, or so notifications are sent to the "Created by" user when a record's status is changed to "Approved".
Configuring your e-mail notifications (for users)
You configure your personal settings to receive e-mail notifications.

Click the Settings icon (the gear-shaped icon) at the top of kintone, then click Personal Settings.

On the "Personal Settings" screen, select whether or not you want to receive e-mail notifications, and configure the type of e-mail notifications to receive and notification format as necessary.

Click Save.
Notes for when access controls have been set
If access control has been applied by the administrator, you need to take any of the following measures in order to access kintone using the URL listed in the notification e-mail.
Client certificate authentication
When you access the URL listed in the e-mail notification, the following screen is displayed.
If you have the required setting to use Client Certificate Authentication, you can access kintone by selecting the check box and clicking the URL.
Basic authentication
If the administrator enabled the Basic authentication, accessing the URL listed in the e-mail notification displays the authentication screen.
Enter the user name and password used for Basic authentication. For your user name and password, check with your administrator.

Two-factor authentication
If two-factor authentication has been enabled, you will be asked to enter a verification code after accessing the URL listed in the notification e-mail and entering your user name and password for login.
Launch an authentication app, such as Google Authenticator, check the six-digit verification code displayed in the authentication app, and enter the code on the login screen.
