Can data related to deleted users still be used?

When a user is deleted in Users & system administration, some data associated with the user becomes unavailable. For example, any information that was written on the People page of a deleted user can no longer be viewed.
However, comments, apps, records, and app settings by a deleted user will still be saved.

Also, the username of a deleted user will still be displayed where they posted comments, updated threads, or were selected in user selection fields. However, if you click the name of the deleted user and open their Profile pop-up, their People page and profile details will no longer be accessible.

Important points to keep in mind when deleting users

Apps

If you delete a user who is the only person with permission to manage an app, the relevant app will no longer have an administrator, and it will not be possible to delete or change the app.

What to do if such a user has already been deleted

cybozu.cn administrators have permission to change the settings of all apps.
If the only user who had management permission for an app has already been deleted, ask a cybozu.cn administrator to update the permissions for the relevant app.

cybozu.cn administrators can access the App settings screen using either of the following methods.

  • Click the App settings icon (the gear-shaped icon) at the upper right of the app's View screen.
  • Find the app on the App management screen, then click its Settings icon (the gear-shaped icon).

Apps that belong to the "Private" app group

If you delete a user who is the only person with permission to manage an app that belongs to the Private app group, the relevant app will no longer have an administrator, and it will not be possible to delete or change the app. Also, apps that belong to the Private app group are not displayed on the App management screen. For this reason, cybozu.cn administrators cannot delete or change the settings of such apps from the App management screen.

Before deleting a user who is the only person with permission to manage an app that belongs to the Private app group, have the creator of the app move it to another app group or delete it.

What to do if such a user has already been deleted

cybozu.cn administrators have permission to change the settings of all apps, regardless of which app group they belong to.
If the only user who had management permission for an app that belongs to the Private app group has already been deleted, ask a cybozu.cn administrator to update the management permission for the app.

cybozu.cn administrators can access the App settings screen of an app that belongs to the Private group by directly entering the URL of the App settings screen into their web browser.

Depending on the app settings, the following access methods are also possible.

  • Go to the Plug-ins screen in kintone administration, then click the app's name under Apps need this plug-in or Apps that have this plug-in added.

Spaces

If you delete a user who is the only person with permission to manage a space, the relevant space will no longer have an administrator, and it will not be possible to delete or change the space.

A kintone administrator or cybozu.cn administrator can become the administrator of a space or delete spaces from the Space management screen.
